for guardians and other adults

In this privacy statement, we, the Medical University of Vienna (hereinafter: “we“), as the data controller, would like to inform you about how we process personal data of a user of the Avatar app when the user fills out the questionnaire in the app.

Data processing:

  1. Purpose of data processing:

When the user fills out the questionnaire, we process his/her personal data solely for the purpose of statistical analysis. Through this, we want to measure the sense of belonging and social inclusion when using the avatar and collect it in aggregated, anonymized statistics.

These anonymized statistics help us to evaluate and improve the avatar and its practical use and can also be published by us as research results.

  1. Origin of personal data:

For the above-mentioned purposes, we only process the data that the user provides as answers in the questionnaire in the app. These are questions about the use of the avatar and the user’s state of mind. This data is linked to the user’s username and password. No other data is used for this purpose. With the exception of the questionnaire and the login data, the app itself does not process any personal data.

 

  1. Legal basis of the processing of personal data:

Data processing for the purpose stated under 1. above only takes place if the user and (in the case of underage users) their legal guardians consent to the data processing. If this consent has been given, the data processing is based on this consent (Art 6 para 1 lit a, Art 9 para 2 lit a DSGVO). This consent is voluntary and not required for the use of the avatar. Users inside and legal guardians can revoke this consent at any time by informing us about the revocation via the above contact addresses. The revocation of consent does not affect the lawfulness of the processing carried out on the basis of the consent until the revocation.

  1. Forwarding of personal data to third parties:

The questionnaire is evaluated within the framework of a research project, whereby the evaluation is carried out on our behalf by our project partner “die Berater Unternehmensberatungs GmbH”, Wipplinger Strasse 32/23-25, 1010 Vienna, to whom the aforementioned data thereby become accessible. We and our other project partners, such as in particular the University of Klagenfurt, Sterneckstraße 15, 9010 Klagenfurt, receive the data from “die Berater Unternehmensberatung GmbH” only in anonymized form.

In order to ensure the security, accessibility and efficiency of the Avatar app and the website through which the questionnaire is offered, we involve IT service providers as processors. The aforementioned personal data may also be made accessible to them for the aforementioned purpose, insofar as this is absolutely necessary for the provision of the necessary IT services.

We do not transfer personal data to third countries outside the European Economic Area.

  1. Retention of personal data:

The above-mentioned personal data will be kept until the end of the research project “Be PART of it!” (planned end: July 2024) and deleted or anonymized at the latest six months after the end of the research project.

  1. Voluntariness of the provision of personal data:

The provision of personal data in the questionnaire is completely voluntary.

 

Your rights:

Each User has the right to (i) obtain from us whether and which personal data we have stored about him/her and to receive copies of such data (Art 15 GDPR), (ii) require us to correct, supplement or delete his/her personal data if it is incorrect or is not processed in accordance with the law (Art 16, 17 GDPR), (iii) under certain circumstances, to request us to restrict the processing of his/her personal data (Art 18 GDPR); and (iv) under certain circumstances, to receive his/her data in a structured, commonly used and machine-readable format or to transmit it to a third party (right to data portability, Art 20 GDPR). If you wish to exercise one or more of these rights, please feel free to contact us.

In addition, each User has the right to lodge a complaint with the data protection authority (for contact details of the Austrian data protection authority, see www.dsb.gv.at) if he/she believes that his/her data protection rights have been violated.

Hello! We are from the Medical University of Vienna and would like to explain in simple terms how we handle your data when you fill out the questionnaire in the Avatar app.

Why do we collect data?
 When you fill out the questionnaire, we use your answers to find out how comfortable people are with the avatar. We want to see if users like the avatar and if it helps them. Your answers are changed so that no one knows they come from you. This is called “anonymous.”
This anonymous data helps us figure out how to make the avatar better and use it better. We can also make the anonymous data public, along with other anonymous data, to show other people what we have found out.

Where does the data come from?
 We only use the answers you give in the questionnaire. We ask about your experience with the avatar and how you feel about it. We also know your username and password. We do not use any other information from you.

Can we do that?
Yes, but only if you and your parents agree. If you change your mind later, you can tell us and we will delete your data or change it so that no one knows it is yours. Just write to us at the email address above or call us at the phone number above. You can also ask your parents to tell us. 

Do we share the data?

A few experts help us to make sure that the app and the questionnaire run well. They can also see the data, but they only use it to help us. There is also a partner who helps us to look at and analyze your data: “die Berater Unternehmensberatungs GmbH”, Wipplinger Strasse 32/23-25, 1010 Vienna. But they don’t tell anyone what answers come from you. Nor do they tell us and our other partners (for example, the University of Klagenfurt) what data is from you.

We and our partners will only share your information with other people or in countries outside the European Union if it has been altered so that it is no longer known to be yours.

How long do we keep the data?
We only keep your data for the “Be PART of it!” research project and then for a maximum of 6 months. The research project will probably last until July 2024, so your data will probably be deleted in January 2025 at the latest or changed in such a way that it is no longer known that it is yours.

Do you have to give us your data?
 No, you decide! You don’t have to fill in the questionnaire if you don’t want to.

What are your rights?
 You have the right:

  1. Knowing what data we have from you.
  2. Telling us when something is wrong and we should correct it.
  3. To ask us to stop using your data.
  4. Getting your data in a special form or sending it somewhere else.

If you think we have done something wrong with your data, you can complain to a body called a “data protection authority”. You can find them on the Internet at www.dsb.gv.at. It’s best to ask your parents to help you with this.
